Enclosed is the summary on the discussion we had on communication with tribes. Most of this information is found in the meetings you have, but we wanted to make sure we had all the main points that Tribal reps., mentioned during this last session.

How do we communicate with tribes?
1. Emails
2. Quarterly (updates) to Chair and Office Director
3. Hard copies to Tribal leader (Formal Notification) and email to key staff as environmental office reps., and/or emergency responders
4. Updates of directory – Contact information
5. Provide accurate minutes of meetings
6. Consider webinars, Skype, video webcast to communicate if one can not travel
7. Record and provide meeting notes to representatives
8. Email Quarterly Reports
9. Dialogues strengthen govt-to govt relationships with tribes
10. Need agendas to request permission to travel (10 day window) even while agenda is in draft
11. Emails are “ok, but sometimes only Co-Chairs get message” on future meetings, etc.
EPA staff can add/include the information on other tools as Tohono O’odham’s own posting site (?). For T.O. Lorinda Sam can not get to all the appropriate representatives
12. Concern: Where are the tribes from Mexico? Although political recognition does not exist for them.
